Key Responsibilities

Claims Administration

  • Acknowledge new claims and determine injury severity and coverage.
  • Clearly communicate claim requirements and processes to claimants and employers.
  • Route claims appropriately to relevant departments.
  • Follow up on outstanding documentation via email, SMS, and calls.
  • Prepare, scan, and index medical, investigative, and invoice documents.
  • Maintain structured filing on internal networks, avoiding duplication.
  • Verify employer eligibility and document validity.
  • Capture Temporary Total Disablement (TTD) data for payments.

Query Resolution

  • Manage customer and stakeholder enquiries professionally.
  • Resolve or escalate issues promptly.
  • Assist the Contact Centre during overflow periods and system downtime.

Branch and Team Administration

  • Plan office operations, address logistical needs, and maintain cleanliness.
  • Record daily office activity and maintain electronic/manual client registers.
  • Manage office supply orders and facilitate team meetings with agenda distribution.

Customer Service

  • Respond to stakeholders via phone, email, and face-to-face.
  • Ensure client information is accurate and up to date.
  • Log and resolve walk-in queries professionally.
  • Guide stakeholders in using RMA systems and procedures correctly.

Reporting

  • Use standardized templates and systems to track and report on claims processing and administrative progress.

Minimum Requirements

  • NQF Level 5 Higher Certificate or Advanced National Certificate in Business Administration or Commerce.
  • 2–3 years of clerical, scanning, and indexing experience.
  • Proficiency in data entry and typing.
  • Intermediate skills in Microsoft Office Suite.
  • Familiarity with claims processes, insurance, or medical aid administration.
  • Knowledge of customer service principles, strong attention to detail, and deadline-driven work ethic.
  • Additional insurance-related certifications will be advantageous.
