Key Responsibilities
The Facilities Administrator will play an integral role in supporting daily operations and upholding the bank’s governance standards. Core duties include:
- Processing and Capturing Requests:
Efficiently manage stakeholder and vendor administration requests on relevant systems to maintain seamless operational workflows. - Vendor and Financial Management:
Action vendor invoice payments by capturing and processing data accurately on the Nedbank system. Perform reconciliations of supplier invoices and general ledger accounts to ensure compliance and transparency. - Revenue and Cost Management:
Contribute to revenue improvement by driving submitted sales to completion. Maintain and monitor transfer pricing systems to ensure proper cost recovery for services rendered. - Operational Efficiency:
Develop and maintain service catalogues, allocate costs per product, and support vendor engagement meetings using management information systems (MIS) data to drive cost reduction strategies. - Budget Control and Reporting:
Assist in departmental budgeting processes by applying statistical analysis and monitoring actual versus budgeted expenditure. Prepare financial and operational reports to guide decision-making. - Risk and Compliance:
Minimise financial and reputational risks by ensuring data accuracy, verifying transactions, and maintaining compliance with FICA and internal audit standards. - Stakeholder Engagement:
Meet and exceed client expectations by responding to queries within defined Service Level Agreements (SLAs) and providing clear, timely feedback. - Document Management:
Maintain and update administration files, legal documents, and meeting packs—both electronic and physical—to ensure easy retrieval and compliance with data management policies. - Continuous Improvement:
Identify and recommend enhancements to existing processes, policies, and systems to improve efficiency and ensure long-term sustainability of administrative functions.
Minimum Requirements
- Education: Matric / Grade 12 / National Senior Certificate (NQF Level 4 or higher)
- Experience: Minimum of 1–2 years’ experience in office administration, preferably within a banking or financial services environment.
Technical and Professional Skills
- Strong understanding of administrative systems and procedures.
- Knowledge of banking processes, business terminology, and financial data analysis.
- Proficiency in relevant management information systems (MIS) and Microsoft Office Suite.
- Familiarity with governance, risk, and compliance frameworks.
- Excellent business writing and communication skills.
