Key Responsibilities

1. Stock & Inventory Administration

  • Capture all incoming cargo and verify delivery notes against BIL tally sheets.
  • Update delivery and stock records in both BIL and client systems.
  • Reconcile theoretical versus physical stock counts and report any discrepancies.
  • Identify and report damaged or expired goods to the stock controller.
  • Generate and distribute picking instructions in alignment with the BIL delivery schedule.
  • Ensure dispatches are properly matched with invoices before release.
  • Manage documentation for client deliveries, including POD tracking and scanning.

2. Order & Distribution Processing

  • Release orders on client systems and record them on BIL’s internal platforms.
  • Oversee printing of client invoices and capture dispatch data accurately.
  • Process returned goods with proper coding and system updates on the same day of receipt.
  • Maintain complete administrative records for cargo in and out of the facility.

3. Reporting and Client Administration

  • Compile spreadsheets and operational reports for both management and clients.
  • Prepare client charge-out summaries for processing by the admin controller.
  • Monitor and follow up on outstanding invoices or unfulfilled orders.
  • Resolve client queries promptly and maintain a professional standard of service.

4. Systems Improvement & Communication

  • Contribute to the continuous improvement of administrative systems and workflows.
  • Maintain regular communication with third-party depots, internal teams, sales agents, and clients to address queries or logistics challenges.
  • Ensure compliance with all BIL policies and health & safety regulations.

Skills and Competencies

Candidates must demonstrate:

  • Excellent computer literacy, including proficiency in MS Office and Excel.
  • High levels of attention to detail and documentation accuracy.
  • Effective communication and customer service orientation.
  • The ability to multitask and manage deadlines under pressure.

Qualifications and Experience

  • Grade 12 (Matric) – Essential
  • Minimum 3 years of warehouse administration experience
  • At least 1 year of working knowledge of CargoWise One – Required
  • SAP experience – Advantageous
